How It Works

From tag print to
cabin confirmation

A complete walkthrough of how TAGTRAZE moves 6,000 bags through a cruise embarkation day with zero spreadsheets.

TAGTRAZE aims to be the bridge that closes this gap — connecting passengers with their belongings at every step of the journey.

When luggage does not arrive on time, or is misplaced, it has an immediate impact on the entire holiday experience. The vision of a holiday that creates unforgettable memories can quickly turn into a nervous and unsettling experience.

Below is the complete workflow TAGTRAZE uses to ensure every bag is accounted for — from the moment a passenger prints their tag at home to the moment they confirm delivery at their cabin door.

01

Before embarkation

Passenger prints their bag tag at home

When a booking is confirmed, TAGTRAZE generates a unique QR code tag linked to the booking reference. The passenger receives a download link via email.

The physical tag contains only a UUID — no name, cabin number, or other PII is printed on the label. Even if a tag is lost or copied, there is nothing sensitive exposed.

Passengers print the tag on plain A4 paper or use the Avery-compatible template, fold it into the holder, and attach it to their luggage before travel day.

Key details

  • No PII on physical label — UUID only
  • Printable on any home printer
  • Replacement tag available via magic link
02

Terminal check-in

Terminal crew scans every bag at check-in

As passengers arrive at the terminal, crew members use Android handheld devices running the TAGTRAZE scanner app to scan each QR tag.

The scan is recorded instantly against the passenger booking, timestamped, and attributed to the individual crew member. If a bag arrives without a tag, the terminal crew can generate a replacement on the spot.

The operations dashboard updates in real time. Supervisors can see the live manifest reconciliation as bags enter the system.

Key details

  • Offline queuing — scans stored locally if connectivity drops
  • Instant manifest reconciliation
  • Replacement tags generated in under 30 seconds
03

Security and transit

Every movement through the ship is recorded

As bags move from terminal to ship to deck, each crew member scans at their checkpoint. Every scan creates an immutable record in the audit log — who scanned, when, and where.

If a bag is detected on the wrong deck, the system fires an alert to both the scanning crew member and the on-duty supervisor within seconds. The bag can be re-routed before the passenger even boards.

If a bag misses an expected checkpoint within a configurable time window, a missing-bag alert is raised automatically. No manual checking of spreadsheets required.

Key details

  • Wrong-deck alerts in real time
  • Configurable missing-bag timeout windows
  • Full audit trail — insert-only, tamper-evident
04

Cabin delivery

Passenger confirms their bag has arrived

Once deck crew mark a bag as delivered, the passenger receives an SMS with a secure magic link. One tap confirms receipt — no app download required.

If the passenger reports an issue (wrong bag, damaged bag), the report is logged with timestamp and routed to the supervisor for resolution.

After all bags are confirmed, the voyage delivery report is generated automatically. It includes total bags, delivery times, scan compliance rates, and any incidents.

Key details

  • SMS confirmation — no passenger app required
  • In-line issue reporting for wrong or damaged bags
  • Automated post-voyage delivery report
